Kingsland Fabrications paint-note automation interface

Fabrication · Kingsland

From PDF cut lists to usable paint notes. ↗︎

An everyday document task, automated

A focused pipeline reads the cut list and prepares structured paint notes, freeing the supervisor to spend more time on fabrication and quality checks.

The starting point

What is getting
in the way?

Start with the thing that costs you time, enquiries or confidence. We shape the work around it.

  1. Customers ring or email for things they could look up

Order status, prices, drawings, certificates, delivery dates. Every call is time your office is not spending on new work.

  2. The same information gets typed in again and again

An order comes in by email, gets typed into the job system, then into Xero or Sage, then into a spreadsheet. Each copy is a chance for a mistake.

  3. The business runs on a spreadsheet or old Access database

It works until the person who built it is off, the file gets corrupted, or two people need it at once. Replacing it feels risky, so nobody does.

  4. Off-the-shelf software does not fit how you work

You have tried the big systems and ended up with a monthly bill, half the features unused and the important bit still on paper.

Let customers help themselves.

A trade supplier can give each customer their own prices, orders and documents behind a login, and cut the routine phone calls.

What we do

Services & deliverables.

From a one-off project to ongoing support. We agree which services you need, what we will deliver and the cost before work starts.

Customer portals

A secure login where customers see their own prices, orders, documents and delivery dates, and can reorder.

Supplier and trade portals

Trade price lists, stock and order submission for the businesses you buy from or sell through.

Accounts integrations

Connections to Xero, Sage and QuickBooks so invoices, customers and payments stop being retyped.

System connections (APIs)

Your website, CRM, job system, stock and email talking to each other automatically.

Spreadsheet and Access replacement

We move the spreadsheet or old database into a proper web system, keeping how your team already works.

Shop-floor and job systems

Job tracking, production boards and stock systems built around your workshop, like the system Kingsland runs on.

AI where it helps

Reading orders, drawings or paperwork automatically, with a person checking anything uncertain.

Hosting and support

Run on Cloudflare with backups and monitoring, plus optional ongoing development.

How it happens

From a conversation
to working properly.

  1. 01

    Shadow

We sit with the people doing the job and map where information comes in, gets copied and gets lost.

  2. 02

    Scope

We agree the smallest version that saves real time, with a fixed price.

  3. 03

    Build

We build in short rounds and show your team working screens early.

  4. 04

    Hand over and improve

We train the team, move the old data across and keep improving if you want us to.

Before you decide

Good questions.
Straight answers.

What is a customer portal?

A secure part of your website where each customer logs in to see their own information: prices, orders, documents, certificates or delivery dates. It cuts down calls and emails and makes reordering easy.

Can you connect our systems to Xero or Sage?

Yes. Xero, Sage and QuickBooks all have connections we can use to pass invoices, customers and payments across automatically, so nobody has to retype them.

Can you replace our spreadsheet or Access database?

Yes. We move the data and the way your team works into a web system that several people can use at once, from the office or a phone, with proper backups.

Why not just buy off-the-shelf software?

Sometimes you should, and we will say so. Custom makes sense when the off-the-shelf options do not fit how you work, or when you are paying for a lot you do not use. We compare the costs honestly.

Who owns the software?

You do. We build on open-source tools and host on Cloudflare. If you ever want to move it elsewhere or bring it in-house, you can.

Do you build on .NET or Microsoft Azure?

No. We build on open-source tools and Cloudflare, which keeps hosting costs low and avoids licence lock-in. We can still connect to Microsoft 365 and other Microsoft systems you already use.

What could work
better for you?

A new website. More customers. Less admin.
