A new team primarily working in a browser
Choose: Google Workspace. Pilot Workspace with real email, files and shared tasks. Confirm that external customers and suppliers can use the resulting documents.
Desktop Excel, Word templates or Microsoft add-ins are business-critical
Choose: Microsoft 365. Keep the applications those workflows depend on unless a representative migration test proves they work elsewhere.
You have regulated data or contractual security requirements
Choose: It depends. Translate those obligations into controls and verify the proposed edition, configuration and contracts. Neither brand automatically makes the business compliant.
You are replacing an older Exchange installation
Choose: It depends. Compare migration paths, identity, file compatibility and training as well as licences. An assumed permanent percentage saving is not a business case.
You want AI and automation across existing systems
Choose: It depends. Demonstrate the actual integration first. Both ecosystems support integration; access, permissions and maintenance determine whether it fits.
