Google Workspace vs Microsoft 365 — for UK SMBs Who Actually Care About AI.
We migrate UK SMBs onto one of these stacks every month. The honest comparison: for AI-native SMBs starting fresh, Workspace + Gemini is the better answer for most. For larger or Excel-dependent businesses, M365 holds the line. Here's the detail — and the rare cases where the answer flips.
Headline verdict
For most UK SMBs starting fresh in 2026, Google Workspace + Gemini wins on price (~£13 vs ~£36 per user/month for the AI-included tier), AI-feature quality, and integration depth between apps. M365 keeps the lead where Excel is genuinely load-bearing or where the team is deeply entrenched in Office. Most "we must have M365" reasons we hear are habit, not requirement.

Which fits which scenario
The real-world calls.
You're a 5-50 person UK SMB starting fresh
Choose: Google Workspace + Gemini. Google Workspace + Gemini is cheaper, the AI is genuinely useful, and the apps are simpler for non-power-users. For most SMBs this is the default in 2026.
Your business runs on Excel power-user work
Choose: Microsoft 365 + Copilot. Excel is still ahead of Sheets for genuine spreadsheet-modeller work. If your finance team uses XLOOKUP, Power Query, and Power Pivot, stay on M365.
You need enterprise compliance (FCA, HMRC, ISO regulated)
Choose: Microsoft 365 + Copilot. M365 E5 has deeper compliance, retention, eDiscovery, and audit features. Workspace has caught up significantly but M365 still leads at the enterprise compliance tier.
You're migrating from outdated on-prem Exchange
Choose: It depends. Path of least resistance: M365 (same family, easier migration). But if you're willing to spend a week on retraining, Workspace gives you 60% lower licence cost forever after.
AI-native business — you want bespoke AI on top of your stack
Choose: Google Workspace + Gemini. Workspace APIs are cleaner and faster to build against. Most of the bespoke AI work we ship sits over Workspace because the integration is more direct.
Honest disclosures
What we won't hide.
- Pricing is approximate at time of writing — both vendors change tiers and bundling regularly. Check current pricing before signing.
- Copilot pricing has been moving downward; the £36 figure is at the seat-level Copilot Pro + M365 Business Premium tier. Bundled pricing is improving for M365.
- AI features in both Gemini and Copilot improve monthly. Anything specific you read about either was probably out of date by the time you read it.
- We deliver both — we don't have a brand preference, only an honest preference based on the outcome we see most often for UK SMBs.
