01 Why is Google Workspace cheaper than Microsoft 365 with Copilot?

Microsoft 365 Business Standard costs around £10.50 per user per month. Copilot — Microsoft's AI add-on — costs an additional £25.60 per user per month. Together that's roughly £36.10 per person. Google Workspace Business Standard, which includes Gemini AI, costs around £13.80 per user per month — everything included. For a 15-person business that's a saving of around £330 per month, or roughly £4,000 a year. The two products are comparable in quality; Google is simply not charging separately for the AI layer.

02 We're mid-way through a Microsoft 365 contract. What do we do?

Check your renewal date — most M365 contracts renew monthly or annually and can be cancelled with notice. We can time the migration to land just before your renewal so you're not double-paying. If you're locked in for several months, we can set Workspace up now and run both in parallel until the M365 contract lapses. We've done this for several clients and it's straightforward.

03 Is our data safe in Google Workspace?

Google Workspace Business Standard is ISO 27001 and SOC 2 certified, GDPR compliant, and widely used by NHS trusts, councils, and financial services businesses across the UK. Your data is encrypted in transit and at rest. You own your data — Google does not use it to train their public AI models. For most SMBs, Workspace offers considerably stronger security than a self-managed Exchange or hosted cPanel email setup.

04 Will Outlook still work during the migration?

Yes. We configure your new Workspace accounts first, then run a parallel period where both systems are live. Outlook can connect to Google Workspace via IMAP during the transition, so nobody loses access to email mid-move. We only cut over the MX records — the bit that points your domain's email to Google — once everything is tested and your team is ready.

05 What happens to our existing emails?

We migrate your full email history across. Inbox, sent items, folders — it all comes over. Contacts and calendar events transfer too. The process uses Google's official migration tools and we verify completeness before cutting the domain over.

06 How long does a migration take?

For a team of 5–15 users with a standard email setup, the actual migration typically completes in 2–3 days of technical work. We allow a week end-to-end to account for DNS propagation, testing, and any awkward edge cases. Larger teams of 20–50 users usually take 2 weeks. We give you a fixed timeline before we start, not an estimate that drifts.

07 Can you train non-technical staff on Gemini?

That's exactly who we train. The session is practical — not a product demo — and focused on the things your specific team needs to do. If your team writes quotes, we cover drafting quotes with Gemini. If they chase purchase orders, we cover that. We also leave behind a written prompt library so people have something to refer to when they're on their own.

08 What Workspace automations can you build?

Anything that runs on repetitive tasks in Sheets, Docs, or Gmail. Examples: a Sheets dashboard that pulls in job data and uses Gemini to flag overdue items; a Gmail automation that drafts a follow-up reply based on the incoming email; a Docs template that auto-fills from a form submission. If your team does the same thing more than a few times a week, it's worth automating.

09 Do you provide ongoing support after the migration?

Every migration includes 30 days of post-launch support as standard — ring or email us and we'll sort it. After that, we offer monthly support plans from £175/month covering admin changes, new user setup, automation tweaks, and Gemini training for new starters. Most clients find the 30-day period is enough, but the option is there.

10 Who does the work — is it Chris and Kay?
