The starting point
Start with the thing that costs you time, enquiries or confidence. We shape the work around it.
Personal Grok accounts sit outside your control. Grok Business gives you a separate team workspace with seat management and roles, and admins can switch off personal workspaces for staff.
Grok can connect to Gmail, Google Drive, Outlook, OneDrive, SharePoint and Teams, but on Business an admin has to set each connector up first. We do that, and check what each person can reach.
Grok Automations can run a job on a schedule and send you the result, such as a Friday summary of unpaid invoices from your inbox or a month end checklist.
Without simple rules, people either share too much or avoid the tool. We agree what goes in, what stays out and who checks the result before anything is sent or paid.

Upload a receipt photo, PDF invoice or spreadsheet and get the supplier, date, net, VAT and total back, with a suggested category from your own list for a person to check.
A skill is Grok Bot's saved method for a task: when to use it, what it needs, the steps, how to check the result and what needs approval. We write and test the skills for your admin, such as receipts, invoice chasing and the month end checklist.
A routine tells a Bot when to run a skill, such as every Monday at 8am, and what to do if the data is missing. We use Test run on safe examples first, and keep sending, paying and deleting behind your approval.
Invoice chasers, supplier emails, quote write-ups and job report tidy-ups in your tone, ready for a person to check and send.
A one page sheet for staff: what can go in, what stays out, and what always needs a person's check. You own the account and every decision; we set up and teach the provider's tools.
How it happens
We ask which jobs eat the most time, whether you run on Google or Microsoft, what you use for accounts and who will use the assistant.
We create the Business team, connect your email and files, then do each task once by hand, save the method as a skill and test it on your real paperwork.
Remote or on site, your team runs the routines on their own tasks while we watch, correct and adjust the instructions.
Once a skill is reliable we schedule it as a routine. After a couple of weeks we review the run history, fix what did not work and add the next one.
Cost and commitment
Remote setup and training from £295. A half day in your office from £495. A fully dialled-in bookkeeping and admin assistant from £950. Ongoing help is £95 an hour or £175 a month. All prices exclude VAT, and your Grok subscription is paid directly to xAI.

Grok Business is self-serve. Create a team, verify your domain, add users and follow xAI's own guide. If you would rather skip the trial and error, we set it up with you, connect your email and files, and train your staff on routines built around your paperwork. We are not an xAI partner and earn nothing from your subscription.
Before you decide
Yes. Grok Business is self-serve, and xAI's user and connector guides at docs.x.ai cover setup. Most firms ask us in for the part after sign-up: connecting email and files, writing instructions that give useful answers and training staff, so they are not left to trial and error.
When we checked in October 2026, xAI listed Grok Business at $30 per user per month. Larger firms needing single sign-on or data residency move to Enterprise, which is priced by xAI on request. Your subscription is paid directly to xAI; our fee is separate.
xAI says Grok Business data is not used for training, and the team workspace is kept separate from personal accounts. On personal plans, users can opt out of training in their settings. Single sign-on and data residency are Enterprise features.
It can do a lot of the admin around bookkeeping, such as reading receipts and invoices, drafting chasers and checking a statement export. It is not accounting software and it is not an accountant. Grok has no official Xero or QuickBooks connection at the time of writing, so it works from files you upload or export. Your books stay in your HMRC-recognised software.
All three are capable. Grok has broad connectors to Gmail, Outlook and SharePoint and straightforward scheduled automations; ChatGPT and Claude both have official Xero connections. We help you pick based on the software you already use, and we set up and train any of them.
A skill is the method: the steps, the checks and what needs approval for one task. A routine is the timing: it tells a Bot to run a skill on a schedule, or after an event where that is supported. xAI recommends getting a task working by hand, saving it as a skill, and only then scheduling it. Most of our time goes into the skill, because that is where the trial and error is.
You are, and we will say so plainly. The subscription, the account and your data stay in your name under the provider's own terms. We set up and teach features the provider already offers. AI assistants can and do make mistakes, so every routine we build has a person checking anything that matters before it is sent, paid, filed or entered into your accounts. We don't give accounting, tax or legal advice, and Happy Webs isn't responsible for losses or decisions that come from the assistant's output. Your accountant and your accounting software remain the record for HMRC.
Either. A two hour remote session suits a small office that wants to get going. A half day on site works better when several people need training at once or the paperwork lives on paper. We are based in Tameside and travel UK wide; travel beyond 30 miles is quoted up front.
